This policy explains how Boxing CEO LLC handles personal information when you visit boxingceo.com, contact us, book a call, or take part in a program we deliver for your employer.
The short version: we collect only what we need to answer you and run our programs, we never sell personal information, we do not use advertising cookies, and we never give employers individual health information about their people.
Who we are
Boxing CEO LLC (“Boxing CEO”, “we”, “us” or “our”) is a corporate wellness and employee engagement company. Our address is 10503 Timberwood Cir, Louisville, KY 40223.
We are responsible for the personal information described in this policy, except where we process program data on behalf of an employer, which is explained in the section on program data below.
You can reach us about anything in this policy at hi@boxingceo.com or (502) 207-2376.
Information you send us
Contact form. When you use our contact form, we collect your name, email address, company and message, and your phone number and company size if you choose to give them.
Booking form. When you ask for a discovery call, we also collect your preferred days and times and any notes about what you would like to discuss.
Email and phone. If you email or call us, we keep the correspondence and any details you share, such as your role, your organization and the program you are asking about.
Form submissions are delivered to our business email inbox. The website itself does not keep a separate database of form entries. To block spam, our forms use a hidden field and a timing check instead of a puzzle, and our hosting provider may limit repeated submissions from the same IP address.
Please do not send health information, or anyone else’s personal information, through our forms. We do not need it to reply.
Information collected automatically
Server logs. Our website is hosted and delivered by Cloudflare. When your browser requests a page, Cloudflare processes standard technical information: your IP address, the date and time, the page requested, the page that referred you, and your browser and device type. This is used to deliver the site, keep it secure, block abuse and diagnose errors, and it is kept only for the limited periods Cloudflare applies to its logs.
Analytics. We use Cloudflare Web Analytics to understand which pages are useful. It is cookieless: it does not set cookies, does not use your browser’s storage to identify you, and does not follow you across other websites. We see aggregate figures such as page views, referring sites, countries and device types, not individual visitors.
Cookies. boxingceo.com does not set advertising or tracking cookies, and we do not use social media pixels, retargeting or third-party ad networks. Cloudflare may set a strictly necessary security cookie in some circumstances, for example to tell a person from an automated bot during an attack. That cookie is not used for analytics or advertising.
Our interactive tools. The wellness ROI calculator and the team burnout risk check run entirely in your browser. What you type into them is not stored and is not sent to us or to anyone else.
How we use information
We use the information described above to:
- reply to your enquiry, usually within one business day
- schedule and prepare for a discovery call
- write and send a proposal you have asked for
- deliver, administer and invoice the programs our clients buy
- operate, secure and improve the website
- meet our legal, tax and accounting obligations, and protect our rights
We do not add you to a marketing list unless you ask us to, and every marketing email we send includes a way to stop receiving them. We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not use it for automated decisions that have legal or similarly significant effects on you.
Who we share it with
We share personal information only with people and companies who need it to do work for us, and only as much as they need:
- Service providers who host the website, deliver email, store files, manage calendars, and handle invoicing and accounting, under contracts that limit their use of the information to providing their service
- Members of our coach network who deliver a program you or your employer has booked, each bound by written confidentiality obligations
- Professional advisers such as our lawyers and accountants, where they need it to advise us
- Authorities where the law requires it, such as a valid subpoena or court order, or where disclosure is needed to protect someone’s safety
- A buyer or successor if Boxing CEO is ever merged, sold or reorganized, in which case this policy continues to apply to your information
We are based in the United States, and the information we hold is processed in the United States. Some of our service providers may process it in other countries, under their own contractual and security safeguards.
How program data is handled
When an employer engages us, we may collect information from its employees through surveys, listening sessions, coaching and program sign-ups. In that work we act on the employer’s behalf under a written agreement, and every engagement follows these rules:
- Aggregate only. Survey results are reported to the employer only as group totals and themes, never as individual answers.
- A minimum group size of 10. We never report on any group of fewer than 10 people. If a team, shift or location has fewer than 10 respondents, its results are combined with another group or left out.
- No individual health data to employers. We never share an individual’s health information with their employer. That includes anything said in coaching or a listening session, survey comments that could identify someone, and whether a particular person used a confidential service.
- No tracking of individuals. We do not use wearables, biometric screening, step counts or any tool that monitors individual employees.
- Themes, not names. Listening session notes record what was said, not who said it.
- Logistics only where needed. Where a program needs names, such as a rooming list for a retreat, we share only what the logistics require.
We do not provide medical or clinical care and do not create medical records. If a coach believes someone may need clinical support, they point that person to the employer’s employee assistance program or a licensed clinician.
How long we keep it
We keep personal information only as long as we need it for the purpose we collected it for, or as long as the law requires:
- Enquiries that do not become an engagement: up to 24 months after our last contact, then deleted
- Client contracts, proposals and invoices: seven years after the engagement ends, for tax and accounting
- Program survey responses: deleted or irreversibly de-identified within 12 months after the engagement ends; aggregate reports that identify no one may be kept longer
- Coaching and listening session notes: kept only while the program needs them, and no longer than 12 months after it ends
- Server logs and analytics: held by Cloudflare under its own retention periods; our analytics are aggregate and identify no one
If a law, a dispute or a client agreement requires us to keep something longer, we keep it only for that reason and only for as long as needed.
Your privacy rights
Depending on where you live, including California, Colorado, Connecticut, Kentucky, Oregon, Texas, Virginia and other states with consumer privacy laws, you may have the right to:
- know whether we hold personal information about you, and get a copy of it
- correct information that is inaccurate
- delete information we hold about you
- receive your information in a portable format
- opt out of the sale of personal information, targeted advertising and profiling (we do none of these)
- appeal if we decline your request
- exercise these rights without being treated differently for doing so
Some of these laws apply only to businesses above certain sizes. We honor these requests from anyone, wherever they live.
To make a request, email hi@boxingceo.com with “Privacy request” in the subject line, or write to us at the address below. We will confirm receipt within one business day, verify your identity in a way that fits the request, and respond within 45 days. If we need more time, we will tell you why, and the extension will not exceed another 45 days. You may use an authorized agent, who must show us your signed permission.
If we decline your request, reply to our decision to appeal it, and someone not involved in the original decision will review it within 45 days. If you are still not satisfied, you may contact the attorney general of your state.
Because we do not sell or share personal information for targeted advertising, there is nothing on this site to opt out of. We still treat a Global Privacy Control signal from your browser as a valid opt-out request.
If your employer engaged us and you took part in a survey, your answers are anonymous or de-identified by design, so we may not be able to link them to you. That is how the system is meant to work.
How we protect information
We use administrative, technical and physical measures that fit the sensitivity of the information we hold:
- the website is served only over encrypted HTTPS connections
- access to client and program information is limited to the people working on that engagement
- our business accounts use multi-factor authentication
- our service providers encrypt stored data
- every coach is background-checked and signs a confidentiality agreement
- we collect as little as we can and delete what we no longer need
No system is perfectly secure. If a security incident affects your personal information, we will notify you, and any authority we are required to notify, as the law requires.
Children’s privacy
Our website and programs are for adults in the workplace. We do not knowingly collect personal information from children under 13, or from anyone under 16 where state law sets a higher age. If you believe a child has sent us personal information, email hi@boxingceo.com and we will delete it.
Changes to this policy
We may update this policy when our services, our providers or the law change. The date at the top of this page shows when it last changed. If a change is significant, we will say so at the top of this page for at least 30 days, and we will tell current clients directly. We will not use information in a materially different way from what this policy described when we collected it without asking you first.
